The Business of Events: Global Policy Forum is a high-level, invite-only industry event that gathers influential voices from across the events sector, including government officials, MPs, and agency leaders.
In 2025, the think tank's pinnacle one-day conference attracted over 250 senior delegates and was held at IET London: Savoy Place in central London. With a narrow registration window and an audience that included a Dame, a Lord, a Minister of State, and over 100 company directors and CEOs, it was essential that the onsite badging experience was fast, seamless and professional.
To support this, RefTech was asked to handle the onsite badging. Although the event team managed their own invitation and registration process, they needed a trusted partner to ensure every delegate was greeted with a professional, branded experience from the moment they arrived.
The event was free to attend but strictly invite-only, and final delegate confirmations were coming in right up until the day before the event. With such a senior and recognisable audience, it was vital that entry was smooth and professional - especially during the short time frame available to get everyone registered and into the venue before the event began.
To support this, RefTech was asked to handle the onsite badging. Although the event team managed their own invitation and registration process, they needed a trusted partner to ensure every delegate was greeted with a professional, branded experience from the moment they arrived.
RefTech set up three PrintPods and two dual-use inquiry stations, all fully RefTech branded. The event badges themselves carried The Business of Events branding at the top, with subtle identifiers (coloured dots) printed for specific delegate categories: speakers, agents, and VIPs. These identifiers were provided by the client as part of the data set and integrated into the badge design.
Although the technology setup was more than sufficient for the expected numbers, the additional units ensured there was no chance of delay and offered strong visibility for the RefTech brand to this influential industry audience.
To ensure security and accuracy, badge reprinting was disabled, preventing anyone from collecting multiple badges. RefTech also responded flexibly to a date change prompted by a parliamentary recess, managing a fast turnaround and adjusting their internal logistics to meet the new timeline.
Data was supplied by the organisers in two main batches, with final additions arriving the day before the event. Despite the tight turnaround, RefTech managed and imported the lists seamlessly. On the day, nine additional attendees were manually added via the inquiry station, with on-the-spot approval managed by a member of The Business of Events organiser team working alongside RefTech.
Registration opened at 9am, and thanks to the smooth onsite operation, the vast majority of attendees were badged and inside by 10:30am.
With a streamlined onsite process, a secure badge system, and seamless cooperation between the RefTech team and the organisers, registration was completed without issue. The branding across PrintPods and badges ensured a professional, consistent experience for attendees from the moment they arrived.
Feedback from the event organisers was overwhelmingly positive, with praise for both the professionalism of the system and the visible presence of RefTech at the event.
